NACIS 2023 statement on the cancellation and reimbursement policy

Hello NACIS members,

The annual meeting is only a few weeks away and we have another exceptional program full of diverse and interesting talks, panels, workshops, and fun social events lined up. The Board has been hard at work organizing last minute details in preparation for what is shaping up to be an exciting and memorable gathering in Pittsburgh.

As attendees finalize their NACIS travel itineraries, the Board would like to take this opportunity to remind members of the Society’s cancellation and reimbursement policy. While we sincerely hope every individual interested in attending NACIS is able to do so, we recognize that unforeseen circumstances may prevent you from attending. Oftentimes such unfortunate situations are unavoidable, disruptive, and burdensome. Looking after our members remains a top priority for the Society and its leadership. For several years, the Society has had a cancellation and reimbursement policy in place to ameliorate negative impacts on registrants, to the extent feasible, should they need to cancel. The cancellation and reimbursement policy is outlined below.

As part of our contract with the venue, the Society is required to commit financially several weeks in advance of the meeting to guarantee space, food, and beverage for registered participants. If a registrant is no longer able to attend for any reason, we encourage them to transfer their paid registration to another person to attend in their place before canceling. Cancellation policy (with 2023-specific dates):

  1. Registrants will be issued a refund of the registration fee minus a $50 processing fee if the registration refund request is made in writing to [email protected] by 11:59PM (Pacific Time) on Monday, October 2nd.
  2. Cancellation requests made after October 2nd will not be processed regardless of whether the registration fee was paid by an individual, company, or government agency, due to the Society’s financial commitment schedule with the venue.
  3. NACIS does not track employer or employment status of registrants and cannot proactively offer registration reimbursement. Requests for registration refunds must be made by the registrant.

Thank you for your outstanding contributions and volunteer efforts to help make NACIS 2023 a successful meeting. Our membership is what makes NACIS a vibrant, welcoming, and unique organization and we wish everyone the best in these remaining weeks before the conference gets underway.
