Presenter guidelines

Accessibility

  • Tips for accessible slide design:
    • Sans serif fonts with a minimum of 24pt size 
    • Test background and font on slides with a color contrast checker
    • Visually simplify charts and maps, zoom in to the relevant parts
  • Presenters are encouraged to use live captioning during their presentation. Instructions for Microsoft Powerpoint and Google Slides. This comes up frequently in our post-conference surveys; please turn these on if you can.
  • Presenters are encouraged to post a transcript, slides, or detailed speaking notes to Slack. If you have sharable slides or would like to add additional relevant links, please consider adding them to this table, which will be circulated to the membership in our slack.

A/V equipment

  • Presentation rooms will be equipped with an audio system, projector, screen, and wifi.
  • The native resolution of the projectors is 1920 x 1200 (WUXGA).
  • LAPTOPS WILL NOT BE PROVIDED. Standard HDMI cables will be provided to connect to typical Windows and Apple laptops. It is always a good idea to bring your own conversion dongle with HDMI connectability.
  • If you are not able to furnish your own laptop, please arrange with your session moderator or another presenter in your session to borrow a machine.
  • It is good practice to bring your presentation in a cross-platform compatible format (e.g., PDF) on a USB drive in case of emergency.

Schedule and timing

  • Please arrive 10 minutes ahead of the scheduled start time for your session (not your individual speaking time) so that there will be enough time to resolve any technical challenges.
  • Because NACIS has more variety than standard academic conferences, not all sessions are the same length, nor do they have the same number of presenters. NACIS has presentations of different lengths, depending on the choice that you specified when you submitted your abstract or assigned to you after. Please consult the online schedule and your session moderator so that you are aware of the length of time for your presentation. The time allotted to you includes a few minutes for questions and transitioning between presenters.
  • Your session moderators will enforce strict timing on presentations and provide signals for time remaining.
  • Please be courteous and ensure that you take only your allotted time out of respect and fairness for all presenters.

Tips for a great presentation

  • Practice your presentation ahead of time. This will help you clarify your message, develop your tone, and set your timing.
  • Build session cohesion and audience rapport by reviewing the session composition to familiarize yourself with the other presenters and presentation topics in your session. The most successful sessions are often ones where presenters are able to speak both to their specific project and the general theme of the session or conference.
  • During Q&A, please repeat any questions from the audience to ensure you understood it and allow the public address system and video recording to best capture it.
  • Check in with your moderator to confirm your consent or decline of recording your presentation prior to October 10, 2024. Recordings are posted to the NACIS YouTube channel shortly after the conference.

Liability Waiver

Presenter warrants that they have the full legal rights to any and all rights and permissions necessary for any material included in their presentation, including graphic images, photographic, film, or video images. Presenter agrees to indemnify, defend and hold NACIS and its officers, directors, agents, employees, representatives, associates and affiliates and each of them, harmless from and against any and all losses, costs, damage, liability and expense, or judgments, including reasonable attorneys’ fees, resulting from any claim of a third party whatsoever that materials provided by Presenter violate such third party’s rights, including any copyright, trademark, or other intellectual property rights.

Poster and Map Gallery exhibitor guidelines

Equipment

  • NACIS will provide Foamcore stands on which to display your poster or map. Adhesives will be provided (double-sided tape, tacks, or pins).
  • The Foamcore will accommodate posters and maps up to 36” wide x 24” tall. If you wish to display a design that exceeds this size, please make appropriate arrangements with the Map Gallery Coordinator when registering your poster, or reach out to posters@nacis.org.

Schedule

  • The Poster and Map Gallery reception will be held after the keynote presentation on Wednesday evening (approximately 9:00pm local time).
  • The gallery room will open around 5pm for participants to hang their work ahead of the keynote presentation. Please make arrangements to have your poster or map on display before the keynote begins at 7:30pm so that attendees may immediately adjourn from the keynote to the gallery.
  • The session will double as a reception with light food and drink. Attendees typically socialize and wander through the displays.
  • Poster and map authors are expected to be near their display during this time to answer any questions but they are not expected to give formal presentations of their work.
  • After the reception is over on Wednesday, maps and posters will remain on display until Friday at the 3:30pm break. The room will be open for attendees to visit throughout the conference. If you prefer to NOT have your design remain on display (for security purposes), please make arrangements to have it removed.
  • On Friday during the 3:30pm break, please make your way to the Map Gallery room and take down your poster.

Student Map and Poster Competition

  • Some of the posters on display will be done by students who are competing in the Student Map and Poster Competition. Attendees will see a sign attached to each student poster indicating its eligibility for the student competition.
